Was PI Billing Pros Operating Under a Different Name Before? Initially known as Medical Lien Recovery Inc., our company has evolved into Personal Injury Billing Pros (PI Billing Pros) and now operates nationwide.

Do You Take Clients in All U.S. States? Yes, we will help any medical office in any of the 50 U.S. states. Law does vary in each state in terms of medical lien and letter of protection law, so that can have an effect on compensation baselines as some states are far more difficult than others for full payment or near full payment negotiation success.

How Do I Get Started? Getting started is straightforward. Simply click “Let’s Get Started” and follow the online registration and agreement process. Once you sign the necessary documents, you’ll provide us with the law firms you want us to manage on your behalf.

Who Will Handle my Matters at PI Billing Pros? Michael Coates will manage your patient billings directly or oversee them closely. Although our service is growing, and specialized team members may assist, Michael will likely handle your matters personally. Engaging with us now increases the likelihood of having Michael work directly on your matters.

Do I have to Assign All Law Firms to PI Billing Pros? No! You choose which law firms to assign! You have the flexibility and decisional authority to assign all your personal injury matters or select specific law firms. Many practices prefer to keep their trusted law firms and assign challenging or unfamiliar ones to us. However, even with trusted firms, a large volume of matters can pose significant financial risks. Start with a few law firms and expand as you experience our service and results.

Can I Assign Just One Matter to PI Billing Pros if I Have More with the Same Law Firm? No. You must assign all matters with a particular law firm from the start. This ensures all communications go through us, protecting you and your staff. If you have multiple matters with a law firm, they all need to be assigned to us. If you only want to outsource one matter, another company might better suit your needs. In other words, you must (no exceptions) send over all open accounts receivable with that law firm, any currently treating patients even if not yet discharged, and if more clients of that law firm are treated while we are point with that law firm they must be subsequently set over all.

What Information and Documents does PI Billing Pros Need to Start? We need minimal information. Specifically, we require the following six items:

(1) a completed New Case Assignment Sheet (or an Excel spreadsheet or similar listing if handling multiple law firms or volume);
(2) the signed liens or letters of protection and patient financial agreements;
(3) detailed billing records showing the total original billed amount, any payments received and the outstanding billed balance;
(4) all relevant communications with the law firm, including PI case settlement details and intended proceed disbursements, bill reduction offers, counters, and reduction agreements;
(5) a listing of your past patient matters with the same law firm and the total amount billed, paid and lost to date with that law firm (to the extent you can easily gather this past payment data); and,
(6) a written narrative about the unique situation with the law firm, patients, or your office that we should know.
For a large volume of matters, the excel spreadsheet or similar full listing can be sent initially, with other documents following later. If we need your SOAP Notes, intake forms, evaluations, and/or reports at a later time, we will request them down the road but please do not upload them initially.

How Do We Send Information and Documents Without Violating HIPAA? Simple. We facilitate this through our HIPAA-compliant document system. We also provide a HIPAA Business Associates Agreement (BAA) during the registration process. Our team will assist in setting up secure access for document sharing and communications, ensuring you can upload and view documents safely while also providing 24/7 access.

Who Receives Payments Once a PI Bill Payment Is Negotiated? You do! Law firms will send payments directly to you, so that you maintain control over the funds. After you receive the payment, you’ll then send our fees to us. This approach eliminates financial risk for you.

When and How Do We Pay PI Billing Pros? After you have been paid! Payments are made after you receive funds from the law firm. You will issue a check payable to “PI Billing Pros” and mail it to us in California. For high-volume clients, we can set up a wire transfer option. We do not engage in PayPal, Venmo or Zelle.

Who Decides How Much a Bill Resolves For? We generally make this decision. Remember, you are not paying us hourly, we need to be efficient, and we manage matters based on their unique factual and legal aspects and our knowledge and experience. If we cannot improve your position or achieve a satisfactory recovery, we will return the matter to you without charge. Our goal is to maximize bill payments efficiently and effectively.

How Long Does It Take to See Results? The timeline for seeing results can vary depending on the complexity of the cases and the responsiveness of the law firms involved. However, our streamlined processes and extensive experience typically lead to faster resolutions compared to what medical offices typically experience.

What Happens If a Law Firm Refuses to Pay? If a law firm refuses to pay, we leverage our extensive experience in negotiation and legal strategies to resolve the issue informally. In rare cases where payment cannot be secured, we provide a detailed explanation and return the matter to you at no charge and often present you with options.

Is PI Billing Pros or Michael Coates Your Attorney? No. We are your lien-negotiation agent, and not your attorney and are not providing legal advice fo you to rely upon. We recommend you have a healthcare attorney licensed in your state advising you all along the way, and for any compliance questions or any questions as to our approach, bring to them so you have someone you can rely upon retained by you as your attorney.

Can I Track the Progress of My Cases? Yes, you can track the progress of your cases through our secure online portal. This system provides real-time updates and ensures transparency throughout the process.
What If I Have Existing Relationships with Law Firms? We respect your existing relationships with law firms. Our services are designed to complement your current arrangements, taking on law firms you decide to outsource for handling, thus enhancing your overall efficiency and profitability.

How Do You Handle Confidential Information? We prioritize the confidentiality and security of your information. Our HIPAA-compliant systems and strict internal protocols ensure that all data is handled with the highest level of care and protection.
