The first step is to request our contractual agreements. If approved, we will send you the details about how to assign law firms and matters to us and documents for your electronic signature. The first is your PI Billing Pros agreement, the second is our Business Associates Agreement for HIPAA, and the third is your Law Firm Authorization.

SIGN THE AGREEMENT
Before we can negotiate on your behalf, we must have a signed PI Billing Pros Agreement.
(CAP) Chiropractors, Acupuncturists, and Physical Therapists, CLICK HERE to start your agreement.
(MED) All other medical provider offices, MD & Imaging, CLICK HERE to start your agreement.
After you click on the appropriate link above, complete the agreement form. Look for three emails from us. The first is your PI Billing Pros agreement, the second is your Law Firm Authorization, and the third is out Business Associates Agreement for HIPAA.
When you receive the emails, be sure to read and sign it each of the documents. We cannot move ahead without them being completed.
PROOF OF AUTHORITY
In order to negotiate on your behalf, law firms will require proof that we are authorized by you. We give the law firms our proof of representation, signed by you, so they know that we are authorized to negotiate on your behalf.
Remember, we are not your attorney, and do not act in the capacity of an attorney in negotiating on your behalf. We are your non-legal agent and sole point of contact for all attorney communciations.
When we email the agreement, we also send a Proof of Authority form for you to electronically sign. Please review the information on the form that we completed for you, sign, date, and complete.
BAA & W-9
We also send you a Business Associates Agreement for both of us to sign. This addresses HIPAA requirements for document sharing.
We also need a W-9 from you. We provide a blank one in your shared folder. You can download and use it or use one that you already have completed and email it to us.
PRIVATE FOLDERS
Once all the agreements are signed, we will create a private folder for your office on our HIPAA compliant Sharefile cloud server.
This server is where you will upload any documents related to your matters, and we will store all communications between PI Billing Pros, you, your office, and your law firms.

You can email us if you would like someone else from your office to have an account and access your folder.
ASSIGNING LAW FIRMS
It is time to get to work. You will need to provide us everything we need to negotiate for you.
When you engage with PI Billing Pros, you assign one or more law firms to us, whether they have one matter or many.
Download our Law Firm Assignment Sheet and Spreadsheet from HERE. Complete the forms and email them to [email protected].

If there are a large number of matters, use the Law Firm Patient Spreadsheet spreadsheet in addition to the document, to record all of the matters for that law firm.
UPLOADING DOCUMENTS
Do not use email to send any documents related to your law firms, patients, and matters. Instead, upload those documents into the shared folders. Create the sub-folder if you need to.
MATTER TRACKING SPREADSHEET
PI Billing Pros uses this spreadsheet to maintain the status and other information for all of your matters. This spreadsheet is located in your shared folder and available for you to view at any time
LAW FIRM COMMUNICATIONS
Communications between PI Billing Pros and the assigned law firms will be stored in PDF format in your shared folder and available for you to view and download at any time.
GETTING PAID / PAYMENTS
Before you accept and deposit any payments from an assigned law firm, PI Billing Pros will send you a notice with the specific details about the expected law firm payment, including when and how much, along with instructions to verify that the payment was made properly. If you receive payment from an assigned law firm without notice from PI Billing Pros, contact us before accepting and depositing the payment to be sure it is accurate and correct.
After you have received the payment, PI Billing Pros will email you for our payment. The email will serve as your invoice.
